Which one should you trial first?
Our recommendation is to start with the configuration model that matches your requirements, then test its limits. This is a shortlist decision, not a hands-on performance ranking.
Attach resources to services
Its Related Resources feature attaches limited rooms or equipment to a service and allocates resources automatically. Clients do not choose them directly. [source]
Start here when you want staff-led appointments with behind-the-scenes resource assignment. Check the exact group setup rather than assuming its name describes the allocation rule.
Combine availability rules
A service schedule can require several resources together and choose from interchangeable pools. This schedule type does not support repeating appointments or variable appointment lengths within a service. [source]
Start here when your requirement is explicitly “one available person AND one suitable room”, possibly with equipment. Make recurring sessions an early trial question, not a late surprise.
Use the same example in both trials
Our hypothetical business has three advisers, two rooms and one projector. An online consultation needs an adviser only. An in-person consultation also needs a room. A demonstration needs all three resources for the full appointment.
This means a free adviser should still be bookable online when both rooms are busy. A free room should not permit a second demonstration while the only projector is in use. See the full requirements example or try our illustrative simulator.
The resource settings are not interchangeable
SimplyBook.me distinguishes One per booking and Shared resource groups. Its documentation says the first requires all attached resources, while Shared is intended for multiple bookings using a resource, such as attendees in a class. Resources must be attached to services to constrain them. [source]
SuperSaaS documents combinations of AND requirements and OR choices, including choosing any suitable resource from a pool. The resource schedules are linked to a service schedule. [source]
The important trial question: does your configuration choose one of two suitable rooms, or require both rooms? Do not treat a room-count limit, a shared class and a named-room reservation as equivalent.
Plan limits: monthly bookings are not upcoming bookings

These are plan allowances, not a promise that the lowest tier passes your complete workflow. SimplyBook.me also sells additional booking packs, so exceeding one limit does not automatically mean the next subscription tier is the cheapest option. [source]
For SuperSaaS, appointments stop counting toward the upcoming total after they take place. [source] Record your maximum future workload, not only last month's activity. Before estimating a combined-resource setup, confirm how linked entries count against the allowance.
Does either free plan fit three staff?
SimplyBook.me lists a permanent free plan with 50 monthly bookings, one provider and one counted custom feature. Its separate 14-day trial includes most features. [source] Our three-adviser example therefore exceeds the free provider allowance even before testing room rules.
SuperSaaS describes its continuing free service as for non-commercial use, with a 50-upcoming-appointment limit. [source] For our commercial example, budget for a paid plan rather than treating the free trial setup as the final operating cost.
Four checks that should decide the purchase
- One room for the whole hour. Block Room A from 10:00–10:30 and Room B from 10:30–11:00. A 10:00–11:00 appointment must not be offered if the customer needs to remain in one room. There is always a free room in aggregate, but no continuous one.
- A real equipment conflict. Reserve the projector for one demonstration. Attempt an overlapping demonstration with another free adviser and room. Then check that an ordinary consultation, which needs no projector, remains possible.
- The online exception. Fill both rooms but leave one adviser free. An online consultation should remain possible; an additional in-person consultation should not.
- Cancellation and last-slot competition. Cancel your own test booking and confirm the resources reopen. Separately, try the last available slot from two customer sessions. Only the permitted capacity should be confirmed.
Use an isolated test setup, your own test entries and the normal customer booking flow. These are proposed acceptance tests, not results from the vendors. Also test any equipment turnaround time your business needs.
Ask support one precise question
“Which plan and settings let three advisers share two rooms and one projector, while online consultations use no room? Please confirm the resource-pool setup, how reservations count toward my limit, and any recurring-booking restrictions.”
Then request the exact configuration, not just confirmation that the product has a resource feature. Keep the answer with your trial results.
