Start with the documented room-account method
Calendly describes adding a room as a user with its own login and paid seat, then including the room and staff member in a Collective event. It also lists a sub-calendar approach with Zapier and an option to assign the room manually after booking. [source]
Our first check would be whether a fixed person and fixed room solve the actual problem. A post-booking manual assignment is not equivalent to guaranteeing room availability when a customer selects the time.
“Any adviser and any room” is a different requirement
Calendly documents multiple rotating host pools on Teams, Teams Plus and Enterprise. Pools can be combined with required hosts. [source]
That suggests a configuration worth asking Calendly to verify: one pool for advisers and another for room accounts. Adding an equipment account is a further hypothesis, not an established recipe. We have not run either configuration in a vendor account.
Work out the seat cost before changing plans
Count existing staff seats, extra room accounts and any plan upgrade. Calendly’s listed pricing is seat-based; use the current billing choice rather than a mixed monthly-and-annual estimate. [source]
Compare the additional cost of keeping a working setup with the total cost and disruption of moving. We are not assuming that replacing Calendly is the better purchase.
The three tests we would start with
- Both rooms occupied: an in-person appointment is blocked, but a third adviser remains available for an online-only meeting.
- Room availability changes halfway: an hour-long appointment is unavailable unless the same room is free for the entire hour.
- The room becomes free again: cancelling or moving a booking releases the old room reservation and correctly acquires the new one.
Also check that the confirmation names the assigned room and that two customers cannot both secure the last resource. These are proposed acceptance tests, not reported defects in Calendly.
When to compare a resource-focused product
Compare alternatives when the confirmed setup needs too many accounts, cannot represent your booking rules or adds administration you do not want. Keep the exact same test cases when evaluating another product; a resource feature name is not a substitute for a result.
